This policy explains what personal information Promega Beauty Hub collects when you visit our website or shop with us, why we collect it, how we look after it and the rights you have over it.

Who we are

Promega Beauty Hub is an online skincare retailer based at Flat 4, 4 Laistaeridge Lane, Bradford, United Kingdom. We are the data controller for the personal information described in this policy. You can contact us about anything in this policy at hello@promegabeautyhub.co.uk.

The information we collect

• When you place an order: your name, billing and delivery address, email address, phone number (if you give it), the products you buy and any order notes.
• Payments: we currently accept payment by bank transfer. We see the payment arriving in our bank account; we never collect or store card details on this website.
• If you create an account: your login details and order history.
• If you join our mailing list: your email address.
• When you contact us: the messages you send and our replies.
• When you browse the site: technical information such as your IP address, browser type and the pages you visit, which our hosting provider records for security and to keep the site running.

How we use it, and our lawful basis

• To process and deliver your order and to handle returns and refunds — this is necessary to perform our contract with you.
• To keep financial and tax records — required by law (for example by HMRC).
• To answer your questions and provide customer service — our legitimate interest in looking after our customers.
• To send marketing emails — only with your consent, which you can withdraw at any time using the unsubscribe link or by emailing us.
• To keep the website secure and prevent fraud — our legitimate interest.

Cookies

We use a small number of cookies that the shop needs to work:

• Basket and checkout cookies (set by WooCommerce, such as woocommerce_cart_hash, woocommerce_items_in_cart and wp_woocommerce_session_) remember what is in your basket.
• Wishlist cookie (pbh_wishlist) remembers the products you have saved with the heart icon. It stays on your device for up to a year and is not used for tracking.
• Login cookies keep you signed in if you have an account.

We do not use advertising or tracking cookies. If we add analytics in future we will update this policy and ask for your consent where required.

Our website loads its fonts from Google Fonts. To deliver them, Google receives your IP address. You can read Google’s privacy policy.

Who we share it with

We only share your information where we need to:

• delivery companies, so they can deliver your order;
• our bank, to receive and refund payments;
• the companies that host and maintain our website and email;
• professional advisers such as accountants;
• authorities such as HMRC or the police, where the law requires it.

We never sell your personal information.

International transfers

Some of our service providers (such as Google) may process information outside the UK. Where they do, we rely on the safeguards UK law requires, such as the UK International Data Transfer Agreement or an adequacy decision.

How long we keep it

• Order and payment records: 6 years after the end of the financial year they relate to, as required for tax purposes.
• Account details: until you ask us to close your account.
• Mailing list: until you unsubscribe.
• Customer service emails: up to 2 years after we last hear from you.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct information that is wrong or incomplete;
• ask us to delete your information;
• ask us to restrict or stop using your information;
• object to our use of your information, including for marketing;
• ask for your information in a portable format;
• withdraw your consent at any time, where we rely on consent.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Keeping your information safe

Our website is served over an encrypted connection, access to customer information is limited to the people who need it, and we use reputable providers to host the site and our email.

Children

Our shop is not intended for children under 16 and we do not knowingly collect their information.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
